Where do I set my VAT country, rate and invoice wording?

In Settings → Documents → VAT. Set the country you are VAT-registered in and your standard rate; if your legal address ends with the country, the card offers to use it. The rate is also what the pricing pages use for ex-VAT retail margins, so it no longer sits under Products → Pricing.

Below them is the wording a zero-rated document prints for reverse charge, export and exempt. Left blank, the standard wording prints; for an EU brand it cites the VAT directive. Write your own if your accountant prefers it, or to print it in your own language.

How is the Settings page organised?

Settings has five tabs — General, Products, Branding, Documents and API. Each tab is a stack of cards: the card header shows a one-line summary of what is saved (e.g. *Next: INV-1043 · PRO-211*), so you can check a setting without opening it. Click a header to open or close a card; the page remembers which ones you keep open.

On wide screens On this page on the left jumps straight to a card. A link from elsewhere in QUOMODA — "Set one in Settings", "Review hierarchy" — opens the exact card it means.

Edit several cards and one bar at the bottom collects them: Save all saves every changed card, and each card header shows Unsaved until it is. Switching tab with unsaved changes asks first.
How do I switch brand on my phone?

The brand you are in is shown in the middle of the top bar, and at the top of the menu (☰) with a Switch button. Tap either to open the account menu, where you can switch brand — platform admins search by name — and reach Settings, Admin and Help Center.

Where do I set my company legal details and bank details?

Under Settings → Documents. Brand legal details holds your registered name, address, VAT, EORI and company registration numbers, and a contact email and phone — the "from" block printed on every document (each address line prints on its own line). Payment details holds bank details per currency; the one matching an invoice's currency prints under "Payment details".

How do I change the way my invoices and orders are numbered?

Settings → General → Document numbering covers all six numbered documents — sales orders, purchase orders, invoices, pro-formas, credit notes and delivery notes. Each one has a Prefix, a Pattern of tokens such as {PREFIX}-{YYYY}-{SEQ:4} (which prints INV-2026-0043), a rule for when its counter restarts, and the Next number it will hand out. The example beside each type updates as you type, so you can see the next number before you save it.

Click a token chip to drop it into the pattern you were last editing. {SEQ:4} is the count itself, padded to four digits, and every pattern needs one — without it every document would be given the same number. A token with nothing behind it, such as {CUSTOMER} on a document that has no customer, drops out together with the separator beside it, so a number never prints a gap.

Reset the counter decides what starts the count again: never, every year, every season or every customer. Leave invoices and credit notes on Never — a tax authority expects one unbroken sequence. Counters are kept separately per reset period, so Next number always edits the one in use today (this year's, for a yearly reset).
How do I update my brand profile?

Go to Settings → General → Brand profile to update your brand name, logo, website and description. Default currency and VAT live under Settings → Products → Pricing. These appear on linesheets, emails and PDF documents shared with customers.

Are prices entered with or without VAT?

Retail prices are always entered including VAT; wholesale prices are entered excluding VAT. The VAT rate under Settings → Products → Pricing is used to work out ex-VAT retail margins on product cards and the pricing page.

Where do new-order notifications go?

Order alerts go to your team members' emails. Under Settings → General → Brand profile you can also set an "Order notifications email" (e.g. orders@yourbrand.com) so a shared inbox always receives them.

How do I manage team members and seats?

In Settings → General → Team you invite members, change roles (Admin, Editor, Viewer), resend or revoke invites and remove people. The footer shows seats used — a pending invite takes a seat — with + Add seat and Manage seats for extra billed seats. Membership shows your plan, what it costs and when it renews.

How do I know whether I have a password?

Settings → General → Account & security says how you sign in. If you signed up with Google or a magic link you may have no password yet — the card then offers Set a password instead of changing one.

How do I customize linesheet presentation?

Open Settings → Branding → Linesheet presentation to set the accent colour, the default grid (3 or 4 columns) and the font. The Buyer view preview beside it updates as you change them.

Can I upload several weights of my brand font?

Yes. Settings → Branding → Custom font takes TTF, OTF, WOFF or WOFF2 files — upload Regular, Medium, Bold and so on, set each file's weight and style, and name the family. Linesheets and PDF documents then use the real bold cut for headings instead of a thickened regular.

Can I check how my emails look before a buyer sees them?

Yes. In Settings → Branding → Email branding, change the accent, header, footer, font or logo and click Send test email — a sample order confirmation with your unsaved changes arrives in your own inbox. Nothing is sent to anyone else and nothing is saved until you save.

How do I set up my terms and conditions?

In Settings → Branding → Terms & Conditions, click Edit terms, write them and save. The Published switch decides whether they are public: when published they appear at your /terms page and are linked from invoices, order confirmations and shipment documents; switched off, they stay a private draft and nothing buyer-facing shows them. The card header shows when they were last edited.

Where did Document branding go?

It moved to Settings → Documents, next to the document layout it affects. It holds the accent colour and whether the logo prints; where the logo sits is set per document in Document layout & fields → Logo.

What does "used in N products" mean in the material library?

Under Settings → Products → Material library, each material shows how many of your products mention it in their composition. It is a text match on composition, so it is a guide to how widely a material is used, not a link.
