Order lifecycle, statuses, confirmations, and customer orders.

Can I tag an order as wholesale, ecom, retail, consignment or friends & family?

Yes. Every order in the list shows a type tag — Wholesale pre-order, Wholesale re-order, Ecom, Retail (DTC), Consignment, Friends & family, or Other. Until you set it, the tag is inferred from the customer's account type and shown faded; open the order and pick the exact type from the tag next to the status to lock it in.

Friends and family each placed their own order — can I report them as one customer?

Yes. Tick the orders in the list, then "Report under one account" on the bar that appears, and pick the account (e.g. Friends & Family). Nothing is combined: the orders keep their own numbers, styles, prices, allocations and invoices — only the customer they are COUNTED under changes, so your reports show one customer instead of five. Each order still shows who placed it, and its order confirmation, invoice, emails and shipping label still name that person and go to their own address. You can unmerge any order at any time and it goes straight back to them. An order needs a customer before it can be merged, so the app has someone to remember.

How do I manage consignment (sale-or-return) with a partner?

The Consignment page (under Sales) handles sale-or-return: create a consignment for a partner with a commission (a % of sales or a flat fee per unit), Place stock (this moves units out of your on-hand into the consignment ledger — so they don't count as available to sell), then Report the units the partner sold and Return the unsold ones back into inventory. You see units out, value out, sell-through % and what's owed; reported sales can also feed Demand Planning. Settling reported sales into an invoice is coming next.

How does the order flow work?

Orders arrive from your linesheets or the buyer portal. You confirm them, allocate stock (or raise purchase orders), fulfil and ship — partially or fully — and invoice. Every step is tracked.

  1. 1Status — Confirmed means you accepted it; now allocate stock and fulfil.

The order says Received but the purchase order has not arrived yet

Fixed. Received on the order's step rail now waits for goods to be booked in against the purchase order, and shows how far that has got — "12 of 38 booked in".

It used to be marked done as soon as every unit was accounted for, which is the test the step BEFORE it already applies. So an order whose 38 units sat on three purchase orders that had only been sent showed Received in green, and the rail claimed goods that were still at the factory.

Covered answers "is every unit accounted for" — from stock or on order. Received answers "is it here". They are different questions and the rail now asks both.

Once a purchase order is booked in, its units move from being on order to being reserved from stock, so nothing is left waiting and the rail moves on to picking.

What do the order statuses mean?

Draft / Pending — awaiting your review.

Confirmed — accepted by you; ready to allocate and fulfil.

In production — waiting on a purchase order to cover it.

Ready to ship — picked, packed and waiting on the carrier. Set it yourself from the status dropdown on the order; you do not need to raise a pick or use the fulfilment module for it.

Partially shipped — some units have gone; the rest stays open.

Shipped — all units are on their way. Delivered — received. Cancelled — voided.

Do buyers receive an order confirmation?

Yes. From Documents or the order itself you can send a branded order confirmation email with a PDF attached. If the order changes later, send an "order update" document the same way.

Can I send a deposit invoice when I confirm an order?

Yes. When you confirm an order and the "Send order confirmation" dialog opens, there's an Also send a payment document choice:

  1. 1Pick Proforma, Deposit invoice, or Full invoice (or nothing).
  2. 2For a deposit, set the % — it's prefilled from the order's payment terms (e.g. "Deposit 50%" → 50).
  3. 3It goes out to the same recipients as a one-line document ("… Order Deposit — Total Wholesale Value = €5,350. Order Confirmation attached").
The deposit document uses your brand's invoice/proforma styling and footer from Settings, so it matches the rest of your paperwork.

You're not locked to confirmation time: from any order's Documents menu, Deposit invoice / pro-forma issues a deposit document for a share of the order total at any point — the % prefills from the order's payment terms, and it can be saved to your Invoices or downloaded directly.

Can I create an invoice straight from an order?

Yes. From the order's actions, generate a draft invoice or pro-forma — every line carries over with product, variant and price, the due date follows the order's payment terms, and any recorded deposit shows as prepayment. The confirmation toast has a View button that jumps straight to the draft in Invoices.

Can I duplicate an order?

Yes. Open the order and click Duplicate in its header, next to Archive. You get a new draft with the same customer, the same lines and quantities, the same season, linesheet, currency, discount and terms — and a new order number. The copy opens straight away, so the next edit lands on it rather than on the original.

Handy for a repeat buy: a re-order, a second door, or next season's version of the same range. Adjust the quantities and confirm it as normal.

Nothing that happened to the original comes with it. The copy has been sent to nobody, so the confirmation date and the stored PDF are blank, nothing is marked shipped or fulfilled, and it is never archived or merged — only what the order *is*, never what was done to it.
While I am adding units, can I see what is already on order for the season?

Yes — under every size box. Open an order, use Add products, and each size cell carries a small figure showing the units already placed for that order's season, across every linesheet and every customer. Blue is wholesale, violet is internal. The same figure sits under the size boxes of the lines already on the order.

It counts every order status except cancelled, so it includes other people's drafts — which is the point. Two people writing 300 units of the same style in separate drafts used to be invisible to each other.

Because it counts everything through to delivered, it only ever goes up across a season. It answers "how much of this have we placed", not "how much is still open".

Archived orders are left out. Archiving is how a season's book gets filed away, so counting them would resurrect numbers you have deliberately put down.

The Add products panel also filters by season and by linesheet. The season starts on the order's own, so the catalogue you are picking from and the figure under each box are talking about the same season.

Can I edit an order after it's placed?

Yes, you can edit orders before they ship. Once an order is shipped, changes go through credit notes or a new order.

Can I change an order's season or date?

Yes. Open the order (full page or the peek panel) and both are editable in the details: reassign the season from a dropdown, and correct the order date with a date picker — useful when an order was keyed into the system late. Reporting and season views pick the change up immediately.

Can I sort or filter the orders list?

Yes. The bar above the list filters by status, season and linesheet, plus free-text search on the order or customer name.

The sort dropdown next to them orders the list by newest or oldest, by value (high → low or low → high), or by customer name (A → Z or Z → A). Value sorting converts every order into your brand currency first, so a mixed-currency list still ranks fairly.

Can I see what was ordered per season?

Yes — switch the Orders page from Orders to By season at the top.

Each season expands to the styles ordered in it, with units per style, the number of orders, and total value — a quick sell-in recap without exporting anything.

Can I export an order?

Yes. Open an order and use its menu to export a PRICAT — an Excel file of every line your buyers' systems can import.
