Fulfillment

Shipping runs in four steps, in the order the warehouse actually works. Stock does not move until step 3.

1. 1Request pick — on the Fulfillment page, open an order that's flagged ready and click Fulfill. Choose the quantities (reserved stock is offered first) and the location. This creates the pick list. Nothing is deducted yet.
2. 2Confirm pick — when the warehouse comes back, open Confirm pick and pack the cartons. What goes into the boxes is what was picked, so there is nothing to type twice.
3. 3Ship — press Ship to book the shipment. Stock is deducted, reservations are consumed, the order line updates and Shopify is told — all from the picked quantities.
4. 4Invoice — raise the invoice from what shipped.

Pack what you have and leave the rest. If the order asked for 10 and only 8 went into a box, the pick is 8 — the button says "Confirm pick · 8 of 10" so it can't happen by accident.

Everything downstream — the stock deduction, the order line, the delivery note, the invoice — follows the packed figure, not the requested one, and the units that weren't picked stay open on the order for the next shipment.

At Confirm pick, add a box for each carton. The box carries its own net, gross and dimensions — what the scale it is standing on measures — and each article inside carries a per-unit weight, from which the row total is calculated for you.

Per-unit weights default to what the product itself says and are saved with the pick, so a weight you type once comes back next time and follows onto any document raised from that fulfilment.

Each box lists only what is still waiting to be packed, with a To pack figure per article. Click that figure to drop all of it into the box, or type a smaller number to split a size or an article across several cartons. Once a line is fully packed it disappears from the next box entirely.

Two shortcuts for long orders: scan straight into a box — point a hand scanner at the contents and each beep adds one unit, matched on barcode then SKU, refusing anything already fully packed — and paste from Excel, where a block of cells lands across the quantity and weight columns from wherever you paste it. Both sit in the header of the box you're filling, alongside a search — with a dozen cartons open, a control at the top of the dialog is nowhere near the one you're working on.

A finished carton folds away — click its header, or just add the next box and the previous one collapses itself, leaving a one-line summary of units and weight. Reopening a saved pick starts with every box folded.

Fill puts everything still unpacked into the box you're editing — the whole job for a single-carton order. On a long order, search for an article first and the button becomes Fill matches, so "put all the Milano in this carton" is two clicks.

Packing a big order in one sitting isn't always possible. Save for later stores the cartons exactly as they stand and leaves the pick open — the units stay committed to it, and you pick up where you left off.

The totals row keeps a running count of units picked, units in boxes, and the shipment's net and gross weight. When you book the shipment, those boxes become its parcels — you don't enter them twice.

Yes. Fulfil any subset of an order — remaining units stay open and the order shows as "partially shipped" until everything is on its way. A partially shipped order can be invoiced for what has actually gone out; you don't have to wait for the rest.

Yes. Once goods have shipped, the order's actions on Fulfilment offer Raise invoice and Raise credit note, and the "shipped, not invoiced" banner links to the same place. Either opens the new-document form with the order already selected and its lines carried over. If the order has been invoiced before, the form says so before you add another — useful if you invoice ahead of fulfilling.

Yes. If one warehouse can't cover the order, split the fulfilment across locations or transfer stock first — the fulfil dialog guides you.

Yes. The packing list opens in the document viewer rather than downloading straight away, so it has the same Fields menu as an invoice: tick EAN, HS code, origin, composition, net and gross weight, colour, size and the rest.

Once the pick is confirmed into cartons, the packing list IS the carton manifest: one table per box with its own EAN, size, quantity and weight columns, a total per box, and the shipment total underneath. A shipment with no cartons recorded still prints the plain item table.

Each field also carries a ↵ button that decides *where* it prints: on the compact sub-line under the row, or as its own column. It's the same choice as in Settings → Documents, made for this one document.

The menu also covers the customer — bill-to, buyer contact, and their VAT / EORI / Reg numbers — so a packing list travelling with the shipment can carry the customs details a border asks for. And Layout at the top switches that document between matrix and list without touching your default.

Your picks are remembered for that fulfilment, and the brand default in Settings → Documents is untouched — this is a per-document choice.

From the fulfil dialog you can download a pick list (with locations, doors, and drops) and a packing list (with EANs) as PDF or Excel. The pick list carries a Picked column pre-filled with the requested quantity, so the picker only writes on the lines that came up short. They're also filed on the Documents page.
