Order confirmations, packing lists, PDFs, uploaded file attachments, and the document archive.

How do I find every document for one order, invoice or customer?

Search the Documents page by an order number, an invoice number, a customer or a supplier. A document is findable by the records it belongs to, not only by its own number — so searching an order number brings back its order confirmation and every invoice and credit note raised from it, together.

The search is in the URL, so a filtered view can be linked to or shared. That is what "All documents for this order" on a fulfilment does.

Which documents can QUOMODA generate?

Order confirmations and order updates, invoices, pro forma invoices, credit notes, delivery/packing lists, pick lists, and purchase-order confirmations — all as clean, brand-styled PDFs (pick and packing lists also as Excel). PO confirmations end with an EAN-code page listing every variant's barcode, so the factory can print labels and scan cartons.

Can I make a visual look-book PDF of an order or selection?

Yes. Open an order and choose Documents → Line-up sheet (visual), or open a selection and click Download line-up PDF. It produces a beautiful, image-forward catalogue — laid out like your linesheet, but showing only the ordered/selected styles — with each product's photo, name, colour, article number, price and (for orders) the per-size quantities the buyer entered. It previews in the app with Print and Download, and uses your brand logo and fonts. When you email an order confirmation, you can also tick “Also attach the visual line-up PDF” to send the look-book alongside it.

Where do I find everything that's been issued?

Under Invoices & docs in the sidebar, the Documents tab lists your orders, POs, and invoices, plus an "Issued documents" audit trail of every document generated or emailed — with one-click re-download of the exact PDF that was sent.

Can I attach my own files — contracts, tech packs, spec sheets — to an order or supplier?

Yes. Open any order, customer, supplier, purchase order, invoice or product and use its Documents section (a tab on customers and suppliers) to drag in files or click to upload. PDFs, images and Office files (Word, Excel, PowerPoint) up to 50 MB are supported. Click a file to preview PDFs and images right in the app; Office files download to open. These uploads are internal — buyers never see them.

Where can I see and search all my uploaded files?

Under Invoices & docs in the sidebar, the Files tab gathers every file you've uploaded across all your orders, customers, suppliers, purchase orders, invoices and products. Search by file or entity name, filter by entity type, sort by date, name or type, and preview any file in the side panel — with a shortcut to jump straight to the record it's attached to.

How do line items appear on documents?

As size matrices — one row per article, one column per size, exactly like an order form. Apparel (XS–XL), tailoring (44–54) and footwear (39–46) each print as their own table, so you never get one wide grid of mostly-empty columns.

Products print in the same curated order as the linesheet the order came from (falling back to the order they were added when there is no linesheet), and the same matrix shows in the on-screen preview, not just the PDF. Items without sizes fall back to a classic list.

Can I choose how my documents look — list or matrix?

Yes. Go to Settings → Documents → Document layout & fields and pick, for each document type (order confirmation, proforma, invoice, credit note, packing & pick lists):

  1. 1Layout — a size matrix (sizes across the top, the default) or a list (one row per size, with a wide column set).
  2. 2Columns & fields — every field (HS code, country of origin, composition, net & gross weights, RRP…) is available on every document type. Selected fields list in print order — drag any row by its grip handle to reorder (header fields reorder within their Customer / Brand / General group).
  3. 3Sub-line — the ↵ icon moves a field onto a compact sub-line under each product row (list AND matrix layouts); toggled off, it prints as its own column instead.
  4. 4Rename — the pencil icon gives any field a custom name that prints on the document (blank restores the default).
  5. 5Spacing — the ⇕ icon adds breathing room after any header field.
  6. 6Footer note — a line printed under the table (e.g. deposit terms).
The live preview IS the real PDF — rendered by the same engine that generates your documents. For invoices, proformas and credit notes you can even preview with one of your REAL documents: pick it in the dropdown above the preview. Your brand identity is field-by-field selectable too — logo, brand name, company legal name, address, email/phone, VAT/EORI/Reg — and the header fields are grouped into Customer, Brand and General sections.
Every capability is unchanged — this only affects how the document is drawn. Leave it untouched and your documents look exactly as before.
The quick on-screen view you get from an order’s menu follows your list/matrix choice, but your column, field and label choices only appear on the real document — "View PDF", the download, and the emailed attachment.
Can I preview a PDF before sending or printing?

Yes. Open any order or purchase order from Documents and click "View PDF" — the exact PDF is generated live from current data and shown in the app, with Download and Print right there. What you preview is byte-for-byte what the buyer or factory receives.

Can I email documents to buyers?

Yes. Sending an order confirmation, order update, or invoice emails the buyer a branded message with the PDF attached automatically.

How is it decided who a document goes to?

By the contacts on the account. Each contact on a customer or a supplier has a Receives row listing document types — tick the ones that person should get, and they become the default recipients whenever that document is generated.

Set it on the customer's or supplier's Contacts tab. If nobody at the account subscribes to that document type it falls back to the primary contact, and you can always change the recipients in the send dialog before anything leaves.

Can buyers see their documents?

Yes. Buyers have their own Documents view in the portal where they can view, print, and download their order confirmations.

Do the PDFs use my branding?

Yes — your logo and brand fonts are applied, and long documents paginate cleanly with repeated table headers, page numbers, and terms that flow across pages.

Where do net and gross weights come from?

Set per-unit net and gross weights (kg) on the product page next to the customs fields — they apply to every size and colourway of the style, and Shopify-synced weights are used automatically. Enable the Net/Gross weight columns in Settings → Documents and each line prints its total weight; document totals use the value you set by hand on the invoice and fall back to the sum of the per-line weights when left blank. You can also override everything per line: in the invoice create/edit dialog, click Customs on any article row to set its HS code, origin, composition and per-unit net/gross kg for that invoice only — and the document weight totals can still be overridden as a whole.
